1. Who we are
OptiVantage Consulting and Technology Labs Private Limited (“OptiVantage”, “we”, “us”) is a private limited company incorporated in India under CIN U70200KA2026PTC224876, with its registered office at T4-801, Floor 8, Tower 4, Sattva Park Cubix, Devanahalli, Bangalore Rural 562110, Karnataka, India.
We are the data fiduciary (under India's Digital Personal Data Protection Act, 2023) and the data controller (under the UK GDPR and EU GDPR, where applicable) for personal data collected through this website.
2. What we collect
We collect only what you give us and what your browser sends automatically. We do not buy personal data, and we do not build profiles on people who have not contacted us.
| Category | What it includes | Why we collect it |
|---|---|---|
| Enquiry details | Name, company, work email, phone (optional), company size, area of interest, and the message you write | To respond to your enquiry and assess whether we can help |
| Campaign context | Original traffic source, the pages you viewed before enquiring, and the referring website, recorded by HubSpot where you have accepted cookies | To understand which channels bring genuine enquiries |
| Technical data | IP address, browser and device type, and timestamps, as recorded by our hosting provider and form processor | Security, abuse prevention and service reliability |
We do not knowingly collect personal data from anyone under 18. We do not collect special category or sensitive personal data through this website, and we ask that you do not include any in your message.
3. Cookies and tracking
When you first arrive, a banner asks whether you accept non-essential cookies. Nothing beyond strictly necessary storage runs until you choose. You can change your decision at any time using the cookie settings link.
| Category | Set by | Purpose | Runs before consent? |
|---|---|---|---|
| Strictly necessary | OptiVantage | Remembers your cookie choice so we do not ask again | Yes — required for the site to function |
| Analytics | Google Analytics via Google Tag Manager | Measures pages viewed, traffic sources and general usage patterns in aggregate | No |
| Marketing and CRM | HubSpot | Recognises returning visitors, links a form submission to the pages viewed beforehand, and records which channel an enquiry came from | No |
| Advertising | LinkedIn Insight Tag | Measures the performance of our LinkedIn advertising and allows us to build audiences of people who have visited the site. Only active while we are running LinkedIn campaigns | No |
We use Google Consent Mode. Until you accept, analytics and advertising storage are set to a denied state, and neither the HubSpot tracking script nor the LinkedIn Insight Tag is loaded at all. If you choose “Essential only”, none of them ever load during your visit.
Fonts are served by Google Fonts, which receives your IP address in order to deliver the font files. This is necessary for the site to render and is not used for tracking.
4. Legal basis for processing
- Consent. You tick the consent box before submitting a form. You may withdraw consent at any time using the contact details in section 9.
- Legitimate interests. Securing our website, preventing abuse, and keeping records of business enquiries. We balance these against your rights and do not use this basis for marketing to you.
- Legal obligation. Where we are required to retain records under Indian company or tax law.
5. How we use your data
- To reply to your enquiry and hold the resulting conversation
- To prepare a proposal or scope of work if you ask for one
- To send you the insights emails you specifically asked for, if you signed up for them
- To keep internal records of business enquiries and their outcomes
We do not sell your personal data, we do not share it with advertisers, and we do not use it to train machine learning models.
6. Who processes it on our behalf
We use a small number of service providers, each acting on our instructions:
- HubSpot, Inc. — hosts the forms on this site, stores enquiries as CRM contact records, and provides the analytics and email tooling we use to respond to you.
- Google LLC — Google Tag Manager and Google Analytics, for aggregate website measurement, and Google Fonts, which serves the typeface.
- LinkedIn Ireland Unlimited Company — the LinkedIn Insight Tag, used to measure advertising performance and build audiences, where we are running campaigns and you have accepted advertising cookies.
- Google Workspace — hosts our email, where enquiry notifications are received and stored.
- Our web hosting provider — serves this website and maintains standard server logs.
Some of these providers process data outside India, including in the United States and the European Economic Area. Where personal data is transferred internationally, we rely on the provider's contractual safeguards and, where applicable, standard contractual clauses.
7. How long we keep it
Enquiries that do not lead to an engagement are held as contact records in HubSpot and retained for 24 months, then deleted, unless you ask us to delete them sooner. Records relating to a client engagement are retained for the duration of the engagement and for eight years afterwards, in line with Indian statutory record-keeping requirements. Insights list subscriptions are retained until you unsubscribe.
8. Your rights
Subject to the law that applies to you, you have the right to:
- Access the personal data we hold about you, and obtain a copy of it
- Have inaccurate or incomplete data corrected or completed
- Have your data erased where we no longer have a lawful reason to keep it
- Withdraw consent at any time, without affecting processing carried out before withdrawal
- Nominate another person to exercise these rights on your behalf in the event of death or incapacity (under the DPDP Act)
- Complain to a supervisory authority — the Data Protection Board of India, or your national authority in the UK or EEA
We respond to requests within 30 days.
9. Grievance officer
In accordance with the Digital Personal Data Protection Act, 2023, our designated grievance officer is:
Mita Banerjee
Grievance Officer, OptiVantage Consulting and Technology Labs Private Limited
Email: admin@optivantageconsulting.com
T4-801, Floor 8, Tower 4, Sattva Park Cubix, Devanahalli, Bangalore Rural 562110, Karnataka, India
Please write “Data protection request” in your subject line so we can route it correctly.
10. Security
We use reputable providers with encryption in transit, restrict access to enquiry data in our CRM and mailboxes to the two founding partners and the grievance officer, and apply multi-factor authentication on the accounts that hold it. No system is perfectly secure, and we will notify you and the relevant authority of a personal data breach where the law requires it.
11. Changes to this policy
We will post any changes on this page and update the date at the top. Material changes affecting how we use your data will be notified directly where we hold your contact details.
